📑 Purchase Orders – Create & Track Supplier Requests #
1. Navigate to “Purchase Order” #
- Log in to your back-office.
- In the sidebar, click Purchases.
- Select Purchase Order.
- The page shows a Filters panel and an All purchase orders table with a purple + Add button (top-right).
2. Use the Filter Bar #
- Business Location – narrow POs for one outlet/warehouse.
- Supplier – view orders for a single vendor.
- Status – Ordered / Partially Received / Received / Cancelled.
- Shipping Status – Pending / Packed / Shipped / Delivered.
- Date Range – defaults to today; pick any custom period.
- Filters auto-apply; table refreshes instantly.
3. Create a Purchase Order #
- Click the purple + Add button.
- Choose Business Location and Supplier.
- Add products:
- Type SKU / name or scan barcode.
- Enter Quantity, Purchase Price, discount or tax if applicable.
- Repeat for each item.
- Fill optional fields:
- Reference No., Shipping Details, Expected Delivery.
- Click Save. PO status defaults to Ordered and appears in the list.
4. Row “Actions” Dropdown #
Each PO row has a purple Actions button:
- View – open a printable PDF-style copy.
- Edit – modify quantities, add products, change status.
- Receive – convert PO to a Purchase when goods arrive (updates stock).
- Delete / Cancel – remove PO (blocked if already received).
5. Table Columns #

6. Export & Print #
- Buttons above the table:
Export to CSV,Excel,PDF,Print. Column visibilitylets you hide price or shipping columns before exporting.- Exports reflect active filters—set date range first for monthly PO report.
7. Troubleshooting #
| Issue | Reason | Solution |
|---|---|---|
| Cannot delete PO | Linked to received purchase. | Delete the purchase record first or keep PO for audit. |
| Wrong stock after receive | Quantity received mismatch. | Edit the Receive transaction and adjust quantities. |
| Supplier not in dropdown | Supplier inactive or not created. | Add/activate supplier under Suppliers ➜ List Suppliers. |
8. Best Practices #
- Create POs before goods arrive to reserve budget and trace approvals.
- Use Quantity Remaining to chase back-orders.
- Filter by Status = Ordered weekly to follow up with suppliers.
- Export monthly PO summary for finance reconciliation.
