📂 Expense Categories – Organize Your Business Expenses #
1. Navigate to “Expense Categories” #
- Log in to your restaurant management system.
- In the sidebar, click Expenses.
- Under Expenses, select Expense Categories.
- The page shows:
- A header with “Expense Categories” title and subtitle “Manage your expense categories”.
- A purple + Add button to create new categories.
- Export options for CSV, Excel, Print, Column visibility, and PDF.
- A table showing “All your expense categories”.
2. Understanding Expense Categories #
Expense categories help you organize and track different types of business expenses systematically:
- Financial Organization – Group similar expenses for better financial reporting and analysis.
- Budget Control – Set spending limits and track expenses by category.
- Tax Preparation – Simplify tax filing by having expenses pre-categorized.
- Business Analysis – Identify spending patterns and cost-saving opportunities.
- Compliance – Meet accounting standards and regulatory requirements.
3. View and Search Existing Categories #
- The main table displays all expense categories with columns:
- Category name – The descriptive name of the expense type.
- Category code – Optional alphanumeric code for accounting systems.
- Action – Edit and Delete buttons for each category.
- Use the Search box (top-right) to quickly find specific categories.
- Adjust Show entries dropdown to control how many categories display per page.
- Default categories typically include:
- Bank Charges – Banking fees, transaction costs, service charges.
- Travel Expense – Transportation, accommodation, meals during business travel.
- Rent – Property rental, lease payments, facility costs.
- Telephone – Phone bills, internet, communication services.
4. Add New Expense Category #
- Click the purple + Add button (top-left area).
- A form will open with fields for:
- Category Name – Enter a descriptive name (e.g., “Office Supplies”, “Marketing”, “Utilities”).
- Category Code – Optional field for accounting reference codes.
- Description – Optional detailed description of what expenses belong in this category.
- Fill in the required information and click Save.
- The new category will appear in the main table and be available for expense entries.
5. Edit Existing Categories #
- Locate the category you want to modify in the table.
- Click the ✏️ Edit button in the Action column.
- The edit form opens with current category information pre-filled.
- Make your changes to:
- Category name (update for clarity or consistency).
- Category code (add or modify accounting codes).
- Description (enhance or clarify category purpose).
- Click Save to apply changes.
- Updated category information will reflect immediately in the table.
6. Delete Categories #
- Find the category you want to remove in the table.
- Click the 🗑️ Delete button (red button) in the Action column.
- A confirmation dialog will appear asking “Are you sure you want to delete this expense category?”
- Click Confirm to permanently delete the category.
- The category will be removed from the table immediately.
Important Notes:
- Categories with existing expense entries may not be deletable.
- Consider editing instead of deleting if the category has historical data.
- Deletion is permanent and cannot be undone.
7. Export and Import Categories #
- Export Options – Use the toolbar buttons:

- Import Process:
- Prepare CSV file with columns: Category Name, Category Code, Description.
- Click Import to CSV and select your file.
- Review import preview and confirm to add multiple categories at once.
