👥 List Customers – Manage Your Client Base #
1. Navigate to “List Customers” #
- Log in to your back-office.
- From the left-hand purple sidebar, click Customers.
- Select List Customers.
- The page displays:
- A Filters panel (toggle switches & drop-downs).
- An All your Customers table.
- A purple + Add button (top-right).
2. Use the Filters Panel #
Quick toggles help you surface specific balances:
- Sell Due – Customers who owe you money.
- Sell Return – Pending returns.
- Advance Balance – Customers with deposits.
- Opening Balance – Customers set up with opening balances.
Additional selectors:
- Has no sell from – date filter for inactive customers.
- Customer Group, Zone, Industry, Assigned to – segment your list.
- Date Range – Created/updated interval.
- Click away or press Enter to apply—table refreshes instantly.
3. Add a New Customer #
- Hit the purple + Add button.
- Fill out:
- Business / Display Name (required).
- Contact Person, Email, Mobile.
- Tax Number, Credit Limit, Pay Term.
- Address, Zone, Geo-coordinates, Customer Group.
- Opening/Advance Balances if applicable.
- Click Save. You’ll return to the list with the new entry visible.
4. Row “Actions” Menu #
Each customer row starts with a purple Actions dropdown:
- View – open profile.
- Edit – update info.
- Ledger – full statement.
- Add Payment – record receipt.
- Disable – hide without deleting.
- Delete – only if no sales/dues attached.
5. Bulk Actions #
- Select multiple rows using the left checkboxes (or “Select All”).
- Buttons appear beneath the table:
- Assign to User – move accounts to a sales rep.
- Add to Group – tag with a Customer Group.
- Disable Customers – archive in bulk.
- Confirm prompts to execute.
6. Table Tools & Shortcuts #
- Search: top-right box filters by name, contact ID, mobile, etc.
- Show Entries: change page size (10 / 25 / 50 / All).
- Export & Print: Buttons for CSV, Excel, PDF, and Print.
- Column Visibility: hide rarely used columns.
- Sticky Totals: grey footer sums money columns (Sell Due / Advance Balance).
7. Troubleshooting #
| Issue | Likely Cause | Solution |
|---|---|---|
| Cannot delete customer | Linked sales, returns or balances. | Set status to Disabled instead, or clear all dues. |
| Totals don’t match report | Active filters hide some rows. | Clear filters; compare again. |
| Customer not visible at POS | Customer marked Inactive/Disabled. | Edit & switch status to Active. |
8. Best Practices #
- Use unique, structured Contact IDs (e.g.,
CUST001). - Assign customers to groups (e.g., “Retail”, “Wholesale”) for pricing rules.
- Reconcile ledgers monthly and export list for backups.
- Leverage filters to prioritise overdue accounts (Sell Due toggle).
