🏷️ Customers Assets – Track Loaned Products #
1. Navigate to “Customers Assets” #
- Log in to your back-office.
- In the purple sidebar, expand Customers.
- Click Customers Assets.
- The screen displays:
- A Filters panel (Search Product, Customer, Business Location, Date Range).
- An empty (or populated) asset-movement table.
2. Understand the Filters #
- Search Product – type product name, SKU or scan barcode to narrow results.
- Customer – drop-down to view assets for one client.
- Business Location – filter by store/warehouse.
- Date Range – choose custom start & end (defaults to current year).
- Click the 🔍 button or just hit Enter after typing; the table refreshes automatically.
3. Table Columns Explained #
| Column | What it shows |
|---|---|
| Customer Name / Mobile | Identifies the borrower. |
| Business Location | Outlet where asset was issued. |
| Product | Asset product name / SKU. |
| Quantity | Units currently with the customer (positive) or returned (negative). |
| Invoice No. | Sales or return reference. |
| Date | Transaction date. |
| Recovered Amount | Cash received for lost / sold asset (if any). |
| Created By | User who recorded the entry. |
4. How Are Rows Added? #
You don’t add rows here manually. Entries are generated automatically when you:
- Sell an Asset Product with quantity set to “Asset Out”.
- Record an Asset Return (quantity negative) via Sales Return or a dedicated module.
- Receive payment for lost asset (updates Recovered Amount).
5. Export & Reports #
Although the table has no explicit export buttons, you can:
- Select the date range and filters you need.
- Use the browser’s Ctrl + P / “Print to PDF” to create a quick report; or
- Copy rows into Excel using drag-select (for smaller data sets).
(If your installation includes hidden CSV/Excel buttons, enable them via “Column visibility” dropdown.)
6. Troubleshooting #
| Problem | Reason | Solution |
|---|---|---|
| No data appears | Filters hiding results or no asset transactions recorded. | Clear all filters; ensure asset products were sold/returned. |
| Quantity doesn’t match physical count | Return not recorded. | Create a sales return or negative-quantity sale to offset. |
| Date column shows wrong timezone | Browser vs. server time mismatch. | Check business location timezone settings under Settings ➜ Business. |
7. Best Practices #
- Issue assets only via proper POS/Sales module to ensure automatic tracking.
- Use clear SKUs prefixed “A-” for asset products.
- Run a monthly filter on Quantity > 0 to chase outstanding returns.
- Record recovered payments to keep books balanced.
8. Done! 🎉 #
You now know how to filter, review, and reconcile customer assets, ensuring every loaned item is accounted for. Happy tracking!
