↩️ Purchase Return – Send Goods Back to Suppliers #
1. Navigate to “List Purchase Return” #
- Log in to your back-office.
- In the sidebar, click Purchases.
- Select List Purchase Return.
- The page shows:
- A Filters bar (Business Location + Date Range).
- An All Purchase Returns table.
- A purple + Add button (top-right) to create a new return.
2. Filter Existing Returns #
- Business Location – restrict results to one store / warehouse.
- Date Range – pick any period; table auto-refreshes.
- Use the search box (top-right) for quick text filtering (supplier, reference No., etc.).
- Adjust Show x entries to control pagination.
3. Create a Purchase Return #
- Click + Add.
- Choose the Parent Purchase you are returning against (search by Purchase No. or supplier).
- Return form opens pre-filled with supplier & product list.
- For each line set the Return Qty and adjust cost if supplier issues credit at different price.
- Add optional:
- Return Shipping Charges
- Additional Notes
- Enter any Refund Received info in the payment section (cash / bank).
- Click Save. Stock reduces, account payable updates, and the return appears in the list.
4. Row “Actions” Menu #
Each return row has a purple Actions dropdown:
- View – open printable credit-note style page.
- Edit – adjust quantities, costs, or payment.
- Add Payment – record additional refund from supplier.
- Delete – remove record (blocked if payment exists).
5. Table Columns #

| Reference No. | Your return document number. |
| Parent Purchase | Original purchase number being reversed. |
| Location | Store/warehouse of the return. |
| Supplier | Vendor name. |
| Payment Status | Pending, Partial, Received. |
| Grand Total | Credit amount including tax & shipping. |
| Payment Due | Outstanding refund still owed to you. |
| Added By | User who processed the return. |
6. Export & Print #
- Buttons:
Export CSV,Excel,PDF,Print. Column visibilityto show/hide fields before exporting.- Exports respect the active filters—set date range first.
7. Troubleshooting #
| Issue | Reason | Solution |
|---|---|---|
| Cannot select Parent Purchase | Purchase status still Ordered. | Receive the purchase first, then create return. |
| Stock balance incorrect | Return qty greater than received qty. | Verify quantities, adjust return lines. |
| Payment status stuck on “Pending” | No refund recorded. | Use Actions ➜ Add Payment to log refund. |
8. Best Practices #
- Create returns immediately upon identifying damaged/incorrect goods.
- Attach photos or documents in notes (if attachment field available).
- Reconcile supplier ledgers weekly to ensure refunds are received.
- Use date filters to generate monthly return summaries for quality reviews.
